We store participant and membership information securely using  Google Sheets, which is GDPR compliant.

Under GDPR, we must have a lawful basis to process your data. We use:

  • Contacting participants about sessions or updates
  • Managing events and training

Special Category Data

Sexual orientation is implied when joining LGBTQ+ services. We process this under:
Article 9(2)(d) – Not-for-profit bodies supporting their members, which is the standard lawful basis used by LGBTQ+ charities and CICs.

 6. Donations & Payment Information

PayPal donations

When you donate via PayPal, we receive:

  • Postal address (if provided to PayPal)

This data is processed only for:

  • Donation records
  • Thank-you messages
  • Accounting/audit requirements

We do not store this data outside PayPal or our email system.

Bank transfers / standing orders

When you donate via bank transfer, we receive:

  • Payment reference

We do not see your bank details.

This is processed for:

  • Managing your membership or donation
  • Accounting and legal compliance

 7. Data Sharing

We only share your data when necessary with:

  • Google sheets (data storage)
  • PayPal (donations)
  • Accountants (financial compliance)
  • Event partners where essential for safety (e.g., emergency services)

All partners are GDPR compliant.

We never share your data with businesses, organisations or third parties for marketing.

 8. Data Retention

We keep personal data only as long as necessary:

  • Participants & members: typically deleted 2 years after last contact
  • Financial records: kept for 6 years (legal requirement)
  • Safeguarding information: kept according to statutory guidance (usually until the young person reaches 25)
  • Email enquiries: deleted when no longer needed

We review retention annually.

You have the right to:

  • Access the personal data we hold
  • Correct inaccurate information
  • Request deletion (unless we must keep it for legal reasons)
